The HR Records department is responsible for managing all pre/post
hire transactions for firm associates and pre/post onboarding
transactions for contractors in both the US and Canada.
- Support, manage, and complete pre and post hire transactions
for one or multiple associate groups (HQ, Contractor, Branch, and
FA) and register them into the firms HR Management System
(PeopleSoft) and corresponding mainframe systems for all US and
Canada associates. Work includes but is not limited to such
transactions as onboarding new hire information, processing
transfers, terminations, rehires, leaves, compensation updates,
processing unemployment claims and conducting unemployment
hearings.
- Coordinate, collect, and complete required federal hiring
documents and internal hiring documents (i.e. Fingerprints,
policies, i-9, eVerify) for all US and Canada associates.
- Serve as customer service rep to handle questions related to HR
personnel information and PeopleSoft HRMS data. Troubleshoot
problems/questions related to associate/branch information;
bringing timely resolution to issues.
- Assist with special projects, data clean-up and firm-wide
initiatives as needed.
- Serve as a back-up for one or more positions within the
department.
- Collaborate with various departments in the firm on submitted
transactions or inquiries; escalating issues when necessary and
fielding inquiries on processes and guidelines as set by the firm.
Assist areas with resolution and identify opportunities for
improvements or enhancements when appropriate.
- Demonstrates "Subject Matter Expert" level of knowledge of
department procedures, HRMS system requirements, and interactions
throughout the firm. Provides knowledge transfer and training to
other team members.
- Participate in system testing - assist in preparing and
executing test scripts for various processes.
- Complete necessary training and keep up to date on changes in
processes or information necessary to perform the job. Responsible
for continually learning on the job through daily department
emails, team/department meetings, and continuing education
sessions.Education
- Bachelors preferred or relevant work experience
Experience
- 3 to 5 years of experience in a data processing environment,
customer service or equivalent
Skills/Abilities
- Excellent customer services and reconciliation skills
- Excellent verbal/written communication skills
- Must be able to respond verbally and in writing thorough
answers/instructions and direction; avoiding closed answers
- Organizational and time management skills essential. Must be
able to multi-task and address/resolve deliverables in a timely
manner
- Must be able to learn and apply technical information relevant
to the job; maintaining data integrity at all times
- Microsoft Office applications and Internet Explorer skills
required

and actual pay is based on skills, experience, education, and other
relevant factors for a potential new associate:
